Fundraise the right way

Thank you for fundraising for Young Sounds UK. We’re thrilled that you’d like to raise money to support us. 

When you fundraise for Young Sounds UK, please follow these terms and conditions.  

If you’re under18, make sure you show these to your parent or guardian before starting your fundraising activity. 

Fundraising

When organising your fundraiser:

  • Please note that the activity or event is your responsibility (it’s not the responsibility of Young Sounds UK). This includes being responsible for the health and safety of all involved in your activity orevent.  
  • Please follow all the applicable laws and regulations for your fundraising activity. This includes getting any necessary licenses, consents, or permissions, e.g. for holding a raffle or selling alcohol.  
  •  You’ll be responsible for any costs, taxes or expenses that come from your fundraising activity.  
  • Young Sounds UK’s insurance policy doesn’t cover your fundraising activities. So, if needed, please arrange your own insurance and make sure any third parties you use (e.g. caterers) are also insured.  
  • Please make sure you’re fundraising for us in a way that’s lawful and doesn’t damage our reputation. If you do anything that threatens Young Sounds UK’s name, we’ll have to ask you to stop your fundraising activity immediately.  
  • Please follow the Fundraising Regulator’s Code of Fundraising Practice. If your fundraiser involves children there are separate fundraising guidelines to follow which you can find here.  
  • We’d appreciate it if you let us know as soon as possible if you postpone, withdraw from or cancel your fundraiser.   
  • A member of the Young Sounds UK team might come along to your fundraising event or activity, with or without prior notice.  

Promotion

When you're promoting your fundraiser, please:

  • Don’t use our logo on anything we haven’t given approval for, either in print or online. We’re happy to share branded materials with you to promote your fundraiser which you can access by contacting Katherine Rigg, our Development Administrator on [email protected]. 

  • Remember that the materials and logo you’ve been given should only be used for your fundraiser. 
  • If you use our logo, please make sure our registered charity number (1070994) is displayed with it.  
  •  Make sure you’re clear that any money raised will be sent to Young Sounds UK and treated as adonation.  
  • Tell your supporters you’re raising money ​‘in aid of’ Young Sounds UK (rather than ‘on behalf of’).   
  • Tell us if you’re planning to contact any companies, press or celebrities to support yourevent. 
  • Get in touch with us if another organisation wants to share the story of your fundraiser (for example, if your place of work has matched your fundraiser).  

Donations

When you’re gathering donations: 

  • Please transfer the money you’ve raised for Young Sounds UK as soon as possible after your fundraising activity or event has finished (or in the timescale we’ve agreed with you).  
  • Remember it’s your responsibility to keep the money raised safe until you transfer it to Young Sounds. We recommend that:  
  • If you’re collecting cash, please count it with a witness present and have them sign to confirm the amount collected.  
  • If you receive a donation by cheque, please make sure this is payable to ​‘Young Sounds UK’ and sent no more than three weeks after the cheque is issued. Please make sure that cheques are over £20.  
  • If you’re using sponsorship forms, please send Young Sounds UK your completed forms with details of the names and addresses of your sponsors, and the amounts donated or pledged. Please send this no later than four weeks after the event. Remember to store sponsorship forms safely and don’t share them with anyone. Please encourage donors and/or sponsors to make Gift Aid declarations if they’re eligible. This will help us to claim an extra 25p for every £1 donated. 

Data and consent

Be mindful of how you handle personal information: 

  • Make sure any personal information you collect from donors or sponsors is stored securely and not shared with anyone else.  
  • When you register to start a fundraiser, Young Sounds UK will contact you by email or phone.  
  • After you’ve finished your fundraiser, we may contact you to tell you about the impact of your support and other ways to help. You can opt out at any time by emailing[email protected].   
  • If you’ve confirmed that you’d like to receive further information about our work, we’ll add you to our general mailing list. You can opt out at any time. 
  • We’d be thrilled to have some photos or videos of your fundraiser to share online, as this really helps us raise awareness and support for the work of Young Sounds UK. Before sending these to us, please check that anyone featuring prominently in the photograph or video has agreed (or their parent/guardian have agreed) to have their image used in thisway.
